What this opportunity involves:

The MAC & Facilities Coordinator will provide outstanding client service by assisting the Senior Facilities Manager to manage, monitor and control the UBS portfolio. Working closely with the UBS Premises Manager and GCS team you will provide administration and task coordination. Representing our client, you will liaise with Landlords and/or Building Managers on behalf of UBS and JLL.

Key responsibilities and duties;

  • Assist with the management of all phases of corporate relocation projects including program development, budgeting, planning, project milestone schedule, multidisciplinary services contracting, conflict resolution, client management, project implementation supervision & closure.
  • Assist with the management of UBS project systems REFIT and GRIMES
  • Perform space planning as required to support the churn, moves and changes process.
  • Aid with management and supervision of all contractors on site (including inspection works)
  • Complete contractor site inductions, liaising with building management and/or security as required
  • Assist with the financial process to ensure that requirements are completed in a timely & accurate manner, including raising & receipting purchase orders
  • Assist and support the Facilities Manager and GCS team with providing general administration and task coordination, both planned & unplanned, as day to day events demand
  • Conduct regular audits to ensure safety procedures on-site are in place and working
  • Assist with the implementation and management of property risk management program

You’ll need to provide superior customer service to meet our on-site client’s expectations. Be able to cultivate and maintain positive working relationships with all client representatives and service providers, both internal and external. Proficiency with Microsoft Project Scheduler, Word, PowerPoint, CADD and  Excel is desired.
