Your role

JLL Australia is on the lookout for a driven graduate or administrator to join the Canberra or Sydney-based team to become their new Lease Administrator on behalf of JLL with a prominent Government Account. The Lease Administrator will be responsible for efficiently supporting management in performing a diverse range of property portfolio-related duties including coordination, reporting and management of the portfolio in line with the requirements of JLL & the Account.

An overview of the role:

  • Calculate fixed, CPI and lease events reports for Property Managers on a monthly basis
  • Lease Abstractions into Portfolio database
  • Manage all Lease Administration related landlord queries
  • Review Landlord Invoices for accuracy and liaise with landlords
  • Rental reconciliations where discrepancies/arrears are apparent on all statements
  • Ensuring that the Vendor/Landlord details are maintained as required
  • Ensuring that the agreed procedures and process flows are adhered to strictly in accordance with guidelines
  • Ensure alignment of responsibilities and accountabilities as set within the Lease Admin RACI.
  • Develop a solid understanding of the lease administration and financial systems that are utilised for the specific client account
  • Manage various trackers for data governance and compliance
  • Strong knowledge of Rent Roll data and reporting and generation
  • Involvement in data integrity of the systems across the region and audit data from time to time
  • Process Landlord Adhoc payments
  • Daily Portfolio data entry
  • Complete PEGA daily tasks and lease abstractions
  • Compliance and audit understanding (saving of relevant lease documentation)

About you

This is what they are looking for:

  • University graduate (Real Estate, Commerce, Finance or Property Law background) OR at least 1 year of relevant work experience
  • Having the ability to understand and interpret commercial contracts and Rent Roll reporting (preferably real estate leases)
  • Work strongly both independently as well as in a team
  • Strong knowledge of accounting and reconciliation
  • Experience using a property management/lease administration system and Microsoft Excel reporting
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Advanced computer skills in Excel and data software
  • Positive approach/attitude to meeting internal stakeholder needs
  • Strong problem-solving skills.
